2. What personal data we collect

When you enter the race

• Full name
• Date of birth
• Email address
• Postal address (where you have opted to have your race pack posted)
• Emergency contact name and phone number
• Predicted finish time
• Payment information (processed securely by Eventmaster — we do not store your card details)

When you join the wait list

• Email address only

When you visit our website

• Browsing and device data via Google Analytics
• Interaction data via Meta Pixel for advertising measurement
• Cookie data — see Section 6 below

3. Why we collect your data and our legal basis

To fulfil your race entry (contract)

We need your name, date of birth, contact details and postal address to process your entry, issue your race number, post your race pack and provide chip timing on race day. Without this data we cannot register you for the event.

For safety on race day (legitimate interest)

We collect your emergency contact details and date of birth to ensure we can respond appropriately in the event of a medical incident on the course.

To send you race communications (legitimate interest)

We will email you with information directly related to your entry — race pack dispatch, start pen details, road closure information and results. These are not marketing emails and you cannot opt out of them while you hold an active entry.

To send you marketing communications (consent)

If you join our wait list or opt in to marketing during entry, we will email you about future JustRace Events races. You can unsubscribe at any time using the link in any email we send.

To improve our website and advertising (legitimate interest / consent)

We use Google Analytics to understand how people use our website and Meta Pixel to measure the effectiveness of our advertising on Facebook and Instagram. Where consent is required, we ask for it via our cookie notice.

4. Who we share your data with

We do not sell your personal data. We share it only where necessary to run the event:

• Eventmaster — our entry and payment processing platform. Eventmaster processes your entry details and payment securely as a data processor on our behalf.
• Race Timing Ireland — our chip timing provider receives your name, race number and entry category to produce race results. Results including your name and finish time are published publicly.
• Squarespace — our website and email marketing platform stores wait list email addresses.
• Google — analytics data is processed by Google Analytics under Google's data processing terms.
• Meta (Facebook/Instagram) — pixel data is processed by Meta for advertising measurement purposes.

All third-party processors are required to handle your data securely and only for the purposes we specify.

5. How long we keep your data

• Race entry data — retained for 18 months after race day, then securely deleted.
• Emergency contact data — deleted within 30 days of the race.
• Wait list email addresses — retained until entries open or until you unsubscribe, whichever comes first.
• Marketing email addresses — retained until you unsubscribe.
• Website analytics data — retained in line with Google Analytics default retention settings (14 months).

6. Cookies

Our website uses cookies for the following purposes:

• Essential cookies — required for the website to function. These cannot be disabled.
• Analytics cookies (Google Analytics) — help us understand how visitors use the site. Only placed with your consent.
• Advertising cookies (Meta Pixel) — used to measure the performance of our Facebook and Instagram advertising. Only placed with your consent.

You can manage your cookie preferences at any time via the cookie notice on our website or through your browser settings.

7. Your rights under GDPR

As a resident of the EU or EEA, you have the following rights:

• Right of access — request a copy of the personal data we hold about you.
• Right to rectification — ask us to correct inaccurate or incomplete data.
• Right to erasure — ask us to delete your data where there is no legitimate reason to continue holding it.
• Right to restrict processing — ask us to limit how we use your data in certain circumstances.
• Right to data portability — request your data in a structured, machine-readable format.

We may update this privacy policy from time to time. When we do, we will update the date at the top of this page. If we make material changes, we will notify active entrants by email.
